In this
tutorial, I'm sharing my top 7 Google drive time-saving tips and I bet there
are some productivity tips you didn't even know you could do! Hello friends! My
name is Fares and I welcome back to your site, where I share technical advice,
application reviews and many productivity tips from Google Drive, just watch!
No, seriously, see my tips and tactics playlist from Google drive.
Tip # 1: Search Drive from your address bar!
That's
right, find and open a file without opening Drive first. From any tab in
Chrome, simply type in drive, then tap the tab and search for what you want to
open from your Google drive, then press enter, and voila. Your file opened and
you didn't even have to go to the drive first. Now, if you are in the habit of
dealing with these parts - these are your videos - you'll actually know these
in Google Chrome features that work with other sites as well.
Now if you
tried this advice and it didn't work, you might have to enable it in Google
Chrome settings. Here's how. From the Google Chrome tab, head over to the 3-dot
menu icon and select Settings. Then select "Search Engine" on the
left, and from here select "Manage Search Engines". Under Default
Search Engines, click Add and here you can add Google Drive as the search
engine, with the command as the keyword, then add in this search string - which
I linked to you below. Just click "Add," and you're good to go. By
the way, if you are new to Drive and looking for a tutorial on how to use
Google Drive, I have an article that walks you through all of that just click
here.
Tip # 2: Use advanced search.
This is
really useful if you don't remember the name of a specific file or document.
From your drive, head over to the search bar and click the dropdown arrow on
the right to bring up your advanced search. If you remember the type of file
you are looking for you can add that to narrow it down, and if you know who
created it, this is useful. Then under the item, just write everything that you
can remember. Even part of the title. Then just press Enter and voila, Google
Drive will do the search for you.
Tip # 3: Extract the text from any image or file.
It is one of
my favorite tips! I've told you about this tip before, but let's do it again!
Convert photos into text! As in, extract the text from any image or pdf file. I
just want to use the text that I see in this image. So I'm going to wrap up
with the full screen preview and right-click the image to select Open with
Google Drive Docs so this opens a brand new tab in Google Docs and you'll have
the image file at the top of the document, but scroll down that, and oh, hello!
Would you look at that? All the text from the image is here in an editable
format. Yes please! This time-saving trick will work for any image with text
because Google uses OCR or OCR technology. And it talks about optical character
recognition (OCR) technology.
Tip # 4: Change your default apps.
This is a
tip for the Google Drive mobile app! From the Drive app on your phone, select
Menu and click on Settings. From here, select the default apps. Here, you can
change all default apps that open from links in Google Drive. There are browser
options, mail options, map options, and calendar options as well.
Tip # 5: enable offline sync.
This will be
really useful if you have to modify something on the go, regardless of your
internet connection. From your drive, click on the setup gear and select Settings.
From here, you will notice that there is a "Offline" option. Be sure
to toggle this off as this is what will allow you to create, view, and edit
documents, papers, slides and any other files while offline. Suppose you are
traveling and you don't have wifi, you can continue working on this document
from the device you enabled sync with offline, everything will update
automatically when you return to wifi.
Tip # 6: Find and enter links without leaving the file you're working on.
Yes, you can
do that too. Let's say you are working on a file and want to easily find and
insert a hyperlink. Sure you could open another tab and search for the website
then copy it and return to a file file, but that might take a long time.
Instead, you just need to select the word, right click and select the link.
Now, there are a few things to watch out for here. First, Google will make
suggestions for sites based on what you are trying to hyperlink with. Hence, if
it's something that it recognizes, it gets taken out here first. Hence, if this
is what you want, that's cool and you can select it and it will automatically
add this link for you. But, you can also search for a site as well simply by
typing what you are looking for The selection is made directly from here. there
he is! We have reached the end of the line.
Tip # 7: Automatic replacements!
Now I know
what you're thinking: What does that mean? Well that's what I'm here for! To
tell you what that means! So, if you are like me and you make the same mistakes
while typing by holding down the wrong keys over and over - whoopsie - you'll
want to enable Engine for Automatic Substitution. As in, I didn't mean it, I
did. So, from whatever file you are working on in Drive, head over to the Tools
menu. From there, select Preferences. In the preferences popup window, there
are tab alternatives. Go ahead and click on that, and now at the top, we'll
make sure Auto Replace is turned on. But here is not only where you can add
your own replacements, but you can also see what's already out there - a kind
of keyboard shortcut hidden inside Drive.
So there's
your quick shorthand for copyright symbol, arrows, fractions, trademark
cymbals, and more. You can change any of these too by the way, if you want, you
can toggle any of these on or off, or you can delete them entirely. But, let's
stay focused and add one in ourselves. So, for example, I often write do not
make mistakes. So I'll put what I'm writing sometimes by mistake and tell Drive
to replace it with the correct spelling. Once done, select OK and you're good
to go.
